7 signs your business has outgrown spreadsheets

Spreadsheets are a great start, until they aren't. Seven warning signs it's time for a custom ERP or CRM, and how to make the switch safely.

Almost every business runs on spreadsheets at first, and that’s fine. They’re flexible, familiar and free. But as orders, people and products grow, the same flexibility becomes a liability. Here are the signs it’s time to move on.

1. The same data is typed in more than once

An order goes into a sheet, then into the billing software, then into a WhatsApp message to the warehouse. Every re-entry costs time and invites mistakes.

2. Nobody trusts the numbers

When two people open “the stock sheet” and see different figures, decisions slow down while everyone double-checks.

3. Only one person understands the file

If a single colleague’s absence means nobody can generate an invoice or a report, your business has a single point of failure.

4. Month-end is a scramble

If it takes days to work out sales, receivables or stock value, you’re always looking at last month instead of today.

5. Updates live in chat threads

Approvals, dispatch updates and customer requests buried in WhatsApp groups are hard to search and impossible to report on.

6. You can’t control who sees what

Spreadsheets make it hard to give the sales team prices without also showing them margins, or to keep an audit trail of changes.

7. Off-the-shelf software didn’t fit

You tried a generic tool, but your team ended up working around it, and back in spreadsheets.

How to switch without the chaos

  1. Start with the biggest pain. Usually inventory, billing or sales follow-ups.
  2. Migrate your existing data from sheets or Tally, so nobody starts from zero.
  3. Run both in parallel briefly, then retire the spreadsheet.
  4. Add modules gradually once the first one is working well.
